This Privacy Policy describes how DPC Services, Inc. dba Carmel Custom Homes ("we," "us," or "our") handles information within the Carmel Dashboard (the "Software"), our internal business operations application.

This policy covers the Software specifically. For information about how we handle client and inquiry data in the course of our contracting business generally, see our general Privacy Policy.

Scope

The Software is a private, internal application used only by our own employees and authorized personnel. It is not offered to the public, not sold, and not made available to third-party organizations. It connects to a single QuickBooks Online company file and a single QuickBooks Time account — our own.

Information the Software Handles

Employee and labor information. Names, employee identifiers, work assignments, hours worked, job assignments, and related payroll-support records.

Project and client information. Project names, addresses, scopes of work, schedules, budgets, change orders, and associated documents.

Financial information. Cost codes, estimates, contract values, change order amounts, invoices, bills, receipts, and related accounting records.

Data synchronized from Intuit services. The Software reads and writes data through the QuickBooks Online and QuickBooks Time APIs, including customer and job records, project records, and time entries. This data is accessed under OAuth authorization granted by an authorized company representative, limited to our own company file.

How We Use This Information

We use information within the Software solely to operate our construction business, including to:

  • Track labor hours and support payroll processing

  • Manage project schedules, budgets, and change orders

  • Prepare estimates, proposals, and client billing

  • Maintain accurate records between field operations and our accounting system

  • Meet legal, tax, contractual, and licensing obligations

We do not sell information handled by the Software. We do not use it for advertising or marketing, and we do not share it with third parties for their own purposes.

Data Storage and Security

Information is stored in a managed PostgreSQL database (Supabase) with row-level security policies restricting access by user role. Access to the Software requires authentication, and users see only the data appropriate to their role.

Data is transmitted over encrypted HTTPS connections. API credentials and authorization tokens are held in encrypted credential stores and are not exposed to end users. Financial write operations require explicit human approval; automated processes do not independently modify financial or payroll records.

Service Providers

We use the following service providers to operate the Software. Each processes data only as needed to provide its service:

  • Intuit Inc. — QuickBooks Online and QuickBooks Time, our accounting and time-tracking systems of record

  • Supabase — database and authentication hosting

  • Cloudflare — application hosting and content delivery

  • n8n — workflow automation connecting the Software to our accounting systems

  • Anthropic — AI processing used to assist with document data extraction and drafting work descriptions

Where AI services are used, they assist with drafting and data extraction only. AI-generated output is reviewed by an authorized person before it is applied to financial or payroll records.

Data Retention

We retain information within the Software for as long as necessary to operate our business and to satisfy legal, tax, contractual, and California contractor licensing recordkeeping requirements. Records no longer required are removed in accordance with our internal retention practices.

Access and Authorization

Access to the Software is limited to current employees and authorized personnel. Access is granted by role and is revoked when a person's employment or authorized relationship with the company ends. Our authorization to access QuickBooks data may be revoked at any time by disconnecting the integration from within QuickBooks Online or by an authorized company representative.

Your Choices

If you are a client, employee, vendor, or subcontractor and wish to request access to, correction of, or deletion of personal information we hold about you, contact us using the information below. We will respond consistent with applicable law and our recordkeeping obligations.

We may update this policy from time to time. The "Last updated" date above reflects the most recent revision.
